Key Responsibilities
- Supervise material orders and dispatching to support rational use of supplies
- Receive deliveries, identify discrepancies, and store materials according to procedures
- Maintain continuous availability of pharmacy and medical stock
- Ensure proper storage conditions according to pharmaceutical standards
- Complete stock card and software entries accurately
- Participate in inventories, including EPREP stock checks
- Monitor stock levels, expiry dates, stock-outs, and alarm thresholds
- Prepare orders for wards, departments, and other consumption units
- Package and dispatch orders properly
- Report anomalies and consumption changes to the Pharmacy Supervisor
- Monitor warehouse temperature and cold chain storage conditions
- Maintain cleanliness and security of pharmacy premises
- Work closely with the logistics department on refrigerating equipment maintenance
- Restrict warehouse access to authorized personnel only
- Report damage, theft, attempted break-ins, or stock losses immediately
- Quarantine expired, damaged, recalled, or compromised medicines
- Prepare stock reports and submit them to supervisors
- Apply FEFO and FIFO principles to reduce wastage
- Maintain accurate records of stock movements using stock cards
- Verify incoming medicines against delivery documents, batch numbers, and expiry dates
- Maintain audit-ready documentation and inventory records
- Update staff health boxes and vehicle first aid kits
- Ensure medicines are issued only with proper authorization
- Monitor cold chain storage conditions and report deviations immediately
- Record quarantined items in the suspensory ledger
- Report shortages, overstocking, near-expiry items, and quality concerns
Requirements / Qualifications
Education
- Diploma or certificate in Pharmaceutical Science
Experience
- At least two years of experience in a similar or relevant position
- Previous experience with MSF or NGOs in developing countries is desirable
Languages
- Swahili language skills required
- English language skills are desirable
Knowledge and Technical Skills
- Computer literacy including Microsoft Word, Excel, and internet use
- Knowledge of pharmaceutical stock management and inventory control
- Understanding of cold chain procedures and warehouse management
