Key Responsibilities
Procurement and Supply Chain Management
- Process procurement requests according to organizational and donor procedures
- Ensure timely, transparent, and competitive purchasing of goods and services
- Maintain supplier records and updated price lists
- Support framework agreements with regular suppliers
Fleet and Transportation Management
- Manage vehicle movement planning and driver coordination
- Ensure vehicle logbooks are completed and submitted properly
- Monitor fuel consumption and maintenance schedules
- Follow up on vehicle servicing and repairs
Asset and Inventory Management
- Ensure assets are tagged, recorded, and updated in the asset register
- Conduct physical verification of assets and inventories
- Track movement of equipment between offices and field locations
- Report damaged, obsolete, or lost assets and coordinate disposal procedures
Warehouse and Stock Management
- Supervise receipt, storage, and dispatch of goods
- Maintain accurate stock records and warehouse documentation
- Ensure warehouse cleanliness, safety, and security standards
Office and Facility Support
- Support office maintenance, utilities, and repairs
- Ensure availability of office supplies and consumables
- Liaise with cleaners, security providers, and maintenance service providers
Reporting and Documentation
- Maintain procurement files, fleet reports, stock cards, and asset registers
- Prepare monthly logistics reports
- Participate in internal and external audits
- Ensure vendor contracts are updated and properly documented
Access, Safety, and Security Management
- Support implementation of organizational safety and security policies
- Support access and security management for country office and field programs
- Assist with field security planning and business continuity measures
- Ensure compliance with Action Against Hunger Minimum Operating Security Standards
- Support emergency response logistics and operational continuity
Humanitarian Access and Security Monitoring
- Analyze security situations affecting operations and program access
- Support field access mapping and movement strategies
- Conduct security reviews and operational assessments
- Provide situation updates and recommendations to management teams
Training and Capacity Building
- Support safety and security training for staff and visitors
- Deliver security briefings for new staff and visitors
- Provide staff with relevant security documentation
Representation and Coordination
- Liaise with local authorities and relevant stakeholders
- Coordinate and distribute situational information with relevant actors
- Verify and triangulate operational information for accuracy
Requirements / Qualifications
Qualifications and Experience
- Bachelor’s degree in Logistics, Supply Chain Management, Procurement, Business Administration, or related field
- Minimum of 4 years of experience in logistics, preferably within an NGO or international organization
- Strong knowledge of procurement, inventory, and fleet management systems
- Proficiency in Microsoft Word, Excel, and Outlook
- Experience with logistics software or ERP systems is an advantage
