Job Purpose
The Fin/HR Assistant will handle financial and administrative tasks, support accounting processes, and assist HR functions. The role focuses on maintaining accurate financial records, ensuring compliance, and supporting staff administration.
Finance and HR Assistant Key Responsibilities
Finance Duties
- Manage cash flow and maintain strict cash control procedures
- Process supplier payments and verify supporting documents
- Record financial transactions and maintain accounting systems
- Maintain petty cash and update cashbook records daily
- Conduct regular cash counts and reconciliations
- Prepare payroll for staff, incentive workers, and daily workers
- Handle bank transfers and follow up on pending documents (e.g. EFD receipts)
- Verify and approve expenses based on MSF financial policies
- Ensure withholding tax compliance for eligible suppliers
- Review and track contracts, renewals, and required updates
- Organize financial documents for audits and reporting
Human Resource Duties
- Support payroll preparation and verify salary calculations
- Prepare employment contracts and ensure legal compliance
- Maintain and update staff records and HR database
- Manage statutory records (NSSF, TIN, tax files)
- Generate monthly payslips and final settlement documents
- Assist in recruitment and onboarding processes
- Manage daily workers, cooks, and cleaners (rosters and evaluations)
- Monitor office supplies and hygiene stock usage
- Support training sessions and administrative activities
- Assist with translation and meeting coordination

Qualifications
Education
- Diploma or degree in Finance, Business Administration, or related field
Experience
- At least 2 years in finance, accounting, or HR roles
- NGO experience is an added advantage
Skills & Knowledge
- Strong computer skills (MS Word, Excel, Internet)
- Knowledge of Tanzanian labor laws is an advantage
- Strong attention to detail and organization skills
Language Requirements
- Fluent in English (C1 level)
- Swahili required
